What is Management Review Meeting?

Top management is involved to check and review the implementation of Organization Management System. These meetings are conducted at planned cycle at least once in a year, to ensure effectiveness of the Quality management system, improvements and shortfalls, Monitor changes in the organization.

These meetings are chaired by Top management and Key personnel’s of the organization. All key decision on the Quality managements systems which includes any improvements of resources, Technology etc.

Why is Management Review Meeting important?

Management review meetings are required to indicate performance of quality management system, Changes required in the organization, Improvement in the organization.  For the verification and implementation of Quality objectives and Policies.

Tool to verify development in actual organizational business and Quality Management results in the planned cycle. To confirm Various changes to be done in the organization and follow up of earlier meetings action points for the closeouts.

Include any new resources and development of technology according to the customer requirements. Risk based evaluations, Lesson learned implementations.

When do you conduct management review meeting?

Management review meetings to be planned various intervals. During initial stage of the Quality management implementation it is suggested to have a meeting quarterly or bi annually, Later can be suggested annually. 

If Quality management is not effectively working and having Major NCR’s, Customer complaints, Changes required in the competent resources, upgrading of system, technology it can be planned earlier than planned cycle.

If the organization includes more products and process , changes in the Quality management system Management review meetings are required planned than earlier as consultation with Top management.

When the organization undergoes other certification which may need early Management review meeting than planned interval to check for the changes and implementation of the new Quality management system

What are the inputs and outputs of management review meeting?

Input for the management review meeting includes:

  • Action from the previous Management meetings are to be discussed
  • Changes in Quality management internal and external Issues.
  • Quality Policy and Quality objective fulfillment including Set KPI’s.
  • Customer satisfactions and Feedback.
  • Process performance and conformity of products and services.
  • Non conformances internal and external.
  • Audit results and findings.
  • Effectiveness of actions taken to address risks and opportunities.
  • Monitoring and measurements of results.
  • Adequacy of resources, technology

Management review outputs

The outputs of the management review shall include decisions and actions related to:

  • opportunities for improvement;
  • any need for changes to the quality management system;
  • Resource needs.
  • Continual improvements
  • Risk analysis inclusion
  • Lesson learned implementations
  • Value addition to the customer requirements and expectation.

All the action points of outcome to be recorded in the Management review meetings (MRM).

 

How to follow up decision made in management review meeting?

Personnel taking notes of the meeting should clearly take the action points and parties. Management review meeting draft to be circulated to all the attendees for the comments.

Once MRM is completed, Each discipline head to be circulated with MRM’s action points and target date for the closeout. It is better to involve quality head of the department for the action closeout meeting follow-up. During weekly or monthly  and other   meetings Top management can be involved to discuss for the action closeouts in more details. Set a pop up tool in the departmental head emails to remind the recipient of deadlines and/or the date of the next meeting.

What are management role in Management Review Meeting?

Top management involve to determine and evaluate management system performance, the need for change and improvement, and the suitability of business policies and objectives. Management review allows an organization to: Review actual results relating to the performance of the business and its systems.

It allows need of training and technology resource plan for the development and implementation of action plan.

Customer needs and expectation can be fulfilled. Risk based thinking and lesson learned /violation can be identified and can be mitigated before start of Projects, Process and defined activity with commitment and support of Top management .

Various training needs internal and external can be implemented based on the Outcome of Management meeting, Recruiting of competent manpower to be identified and implemented.
